Responsibilities

CRM & Client Experience (CX) Database Management
Assist with updating and maintaining the CRM databaseTake ownership of the CX Tracker - updating it weekly with lead status as provided by the Vice President of Business Development and other executive leadership
Proposal Coordination
Manage the collection and delivery of all business development-related proposal materials to the Proposal + Marketing Associate for creative development, design, and timely submission
Marketing Support
Collaborate with executive leadership to gather written or visual content (as needed) for submission to the Proposal + Marketing Associate. This may, at times, require light editing and/or wordsmithingContent may include newsletter updates, client e-blast blurbs, or company announcements-but will be forwarded to the Proposal + Marketing Associate for final design and distributionManage print orders and distribution of apparel, business cards, badges, site signage, etc.Maintain an accurate inventory of all company apparel. Work with Proposal + Marketing Associate to place orders as necessaryCurate content for presentations. Provide final, approved content to Proposal + Marketing Associate for design.Assist with follow-up marketing on all PR efforts.
Administrative Support
Provide comprehensive administrative support to the Vice President of Business Development, including calendar management, agenda preparation, travel planning, and meeting coordinationCoordinate logistics for industry conferences, client events, and business development tripsManage client appreciation initiatives including holiday card and gift distribution.Provide presentation content support to the Vice President of Business Development and other members of the executive team. This may include creating content, preparing comprehensive content outlines, maintaining a central library of presentation materials, and submission to the Proposal + Marketing Associate for review, design, and formatting in advance of the presentation deadline.Complete additional business development tasks as assigned.Assist the executive team with exhibit collection and organization and contracts as needed.
Qualifications

BA in communications, marketing, public relations, writing, or a related field required3+ years of professional experience as an administrative assistant OR business development, sales coordination, or marketing support role preferredAdvanced proficiency in Microsoft Office SuiteFamiliarity with Adobe InDesign is a plus, but not requiredExperience using CRM systems and tracking tools preferredHighly organized with excellent attention to detail, especially when tracking data or supporting executive-level operationsStrong written and verbal communications killsSelf-starter with the ability to manage multiple priorities, meet deadlines, and follow through on assigned tasksFlexibility and willingness to work outside standard hours when necessary to support business development efforts
