POSITION SUMMARY
The Project Coordinator supports the setup, tracking, and documentation of construction projects by coordinating material orders, managing project records, and ensuring compliance with permitting and safety requirements. This role works closely with Project Managers, Superintendents, and Foremen to maintain schedule alignment, document accuracy, and timely procurement of materials. The Project Coordinator leverages tools such as HCSS, Spectrum, Primavera P6, and municipal platforms to execute project tasks from preconstruction through closeout.
YOUR ROLE
•Creates project documentation including subcontracts, submittals, and sourcing sheets to support setup and compliance
•Maintains job files and completes project setup in systems such as HCSS and Spectrum
•Prepares RFIs, change orders, and pay estimate documentation using company templates and civil plan interpretation
•Submits and tracks Dig-Tess tickets; verifies utility locates and records confirmations for excavation safety
•Issues purchase orders with correct job codes and pay items, verifying ticket accuracy and delivery timelines
•Coordinates daily material orders for asphalt, concrete, and base based on production schedules
•Communicates directly with vendors and subcontractors to manage deliveries, resolve disputes, and track quotes
•Tracks subcontractor documentation including insurance compliance and invoice reconciliation
•Updates Primavera P6 schedules based on field feedback and project milestone progress
•Generates Heavy Job production reports and uses Excel (e.g., pivot tables) for data tracking and scheduling
•Organizes redlines, as-builts, and pay quantity adjustments throughout the lifecycle of the project
•Prepares permit documentation and coordinates with municipal agencies for ROW, SWPPP, and utility requirements
•Participates in weekly scheduling meetings and provides documentation updates to field and project teams
•Manages document repositories (e.g., SharePoint, Dropbox) and ensures conformed plans are available to teams
•Supports project closeout by tracking retainage, final material data, as-builts, and subcontractor documentation
•Attends and documents meeting agendas, action items, and project updates for internal and external distribution
•Assists field teams with material coordination, schedule adjustments, and documentation troubleshooting
•Responds promptly to issues affecting schedule, documentation, or material delivery to minimize delays
WHAT YOU BRING
•High school diploma or equivalent required; college degree preferred
•2-5 years of construction or infrastructure project experience preferred
•Proficiency in Microsoft Office, especially Excel (e.g., pivot tables, formulas)
•Experience with HCSS, Spectrum, Bluebeam, Primavera P6, and 811/Dig-Tess portals preferred
•Ability to read and interpret civil plans, construction documents, and utility drawings
•Strong organization and time management skills in a fast-paced environment
•Effective written and verbal communication skills across internal and external stakeholders
•Reliable, proactive, and detail-oriented with a problem-solving mindset
•Bilingual in Spanish preferred
•Valid Texas driver's license required
PHYSICAL REQUIREMENTS
A project coordinator in the civil construction industry needs to meet certain physical requirements to effectively oversee projects. They should have the stamina to spend long hours on construction sites, often in challenging weather conditions. Physical agility is essential for navigating construction sites, which may involve climbing ladders, traversing uneven terrain, and inspecting various structures. Overall, a project manager in civil construction must maintain good physical health and fitness to ensure they can actively engage with all aspects of project coordinating on-site.
